Who we are
Flex Lane LLC is a Florida limited liability company that provides back-office services for trucking owner-operators and small fleets. This policy covers our website and our service. Questions about it, and any request about your information: info@flex-lane.com. Our Terms and Conditions describe the service itself.
Our website and service are for businesses, and not for anyone under 18.
What we collect when you sign up
When you sign up through our website we collect what you enter: your name, phone number, email address, company name, USDOT and MC numbers (if you give them), fleet types, operating area and any message.
If you give us a USDOT or MC number, we look up the public records the U.S. Department of Transportation and FMCSA publish about that carrier and keep what we find with your sign-up. These records describe the business, such as its operating authority, insurance filings, fleet size and safety record, and also list the names and contact details of the company's officers. We use them only to prepare for our call with the person who signed up; we never use them to contact anyone else listed, and they are deleted on the same schedule as the sign-up.
We also keep a record of your consent to be contacted and of your acceptance of the Terms: the exact wording and version you agreed to, when you agreed, and the IP address and browser you used.
When you browse the site, our web analytics service collects usage information such as the pages you view, how you arrived, your device and browser, and your approximate location (city or region).
If you arrive from an ad or a link, we record which one (campaign tags and a click identifier in the link), so we know which ads work.
When you sign up, we tell Google Ads that a sign-up happened so we can see which ads lead to sign-ups. With it we send your email address in hashed form: it is scrambled in your browser before it is sent, and Google uses it only to match the sign-up to an ad click and report it to us in totals. We don't send your name, phone number or anything else you type.
How we use it
- To respond to your sign-up and set up your service.
- To send you one automatic email confirming we received your request.
- To contact you by phone, text message and email about getting started. Apart from that one confirmation, messages come from our team.
- To check the carrier you tell us about against its public DOT and FMCSA records, so we're ready for our first call.
- To keep a record of your consent and of the Terms you accepted.
We don't sell your information or your load data.
If you become a customer
Once you sign the carrier agreement, we handle more of your information to run the service:
- Your load documents: rate confirmations, bills of lading, proofs of delivery, broker setup packets and invoices. They contain details about other people — your drivers' names and phone numbers, and broker and shipper contacts — which you are responsible for being allowed to share with us.
- A record of every load we book for you: lane, rate and accessorials, equipment, pickup and delivery dates, the broker, and invoice and payment dates.
- Your company details: what you give us in the setup packet, including your EIN, insurance and your factoring company, if you use one.
We use this information to provide the service (booking, invoicing, follow-up, document storage and bookkeeping), to run and improve it, and to meet our legal and tax obligations.
How we learn from the loads we book. We use the load records inside Flex Lane to run and improve the service: checking rates, seeing which lanes and brokers perform, and improving how we dispatch and invoice. What we learn may inform our work for other carriers, for example that a broker pays slowly, but we never show another carrier or a broker your name, your rates or your documents. Anything we publish outside Flex Lane is combined across carriers so it cannot identify you.
Who we share it with. Brokers you haul for (setup packets, rate confirmations and invoices), your factoring company if you use one (invoices and its notice of assignment), and the service providers that run our systems on our behalf: document storage, our payment processor, e-signature, bookkeeping software and email. Nobody else, unless the law requires it. If our business is ever transferred to a successor, your agreement and documents transfer with it and we tell you.
Paying our fee. You pay our weekly fee invoice by ACH or card through our payment processor. We never see or store full card or bank numbers, we keep no card on file, and we never charge you automatically. We never ask for card or bank details by phone, text or email.
How long we keep customer records. Load documents and load records: at least 5 years, as our Terms describe. You can ask for an export at any time during the service and for 30 days after it ends; when retention ends we delete them and tell you at least 30 days before. Your consent and Terms-acceptance record is copied into your customer file when you sign the agreement and kept for as long as you are a customer and 5 years after.
Who processes it
We use a small number of service providers to run the website and our business. They process your information only on our behalf:
- cloud hosting and data storage providers;
- a security service that helps us block automated spam;
- our business email provider;
- Google Ads, which measures which of our ads lead to sign-ups, using the click identifier and the hashed email described above. We don't use it to show you personalized or follow-up ads;
- Google Analytics, which sees how the website is used (pages, device, approximate location and the address of the page you came from) but not what you type into the sign-up form. Google explains what it collects on sites that use its services at policies.google.com/technologies/partner-sites;
- once you are a customer, the providers listed above under "Who we share it with".
How long we keep sign-up records
Sign-up records, including the public records we found, are deleted automatically about 24 months after you submit them. You can ask us to delete yours sooner at any time (see Your choices below). Customer records follow the longer periods above.
Calls and texts
Calls and texts come from our team, by hand: no autodialer, no recorded messages, no automated text messages. Calls are not recorded. We call during normal business hours in your time zone. Message frequency varies; message and data rates may apply.
To stop calls, texts or emails, tell us any clear way: reply STOP to a text, say so on a call, or email info@flex-lane.com. We stop promptly, and always within 10 business days, and we keep your request on file so we don't contact you again. If you are a customer, we still send what is needed to finish loads already booked and the invoices for them.
Security
We protect your information with reasonable security measures: encrypted connections, access limited to the people and systems that need it, and providers that do the same. No system is perfectly secure. If a breach affects your information, we tell you within 30 days of finding out, as Florida law requires.
Your choices
To see, correct or delete the information we hold about you, email info@flex-lane.com. We answer within 10 business days and never treat you differently for asking. You can withdraw your consent to be contacted at any time; that doesn't affect what we did with your information before you withdrew it.
Cookies, analytics and ad measurement
We use Google Analytics to understand how visitors use this site, so we can improve it, and Google Ads to measure which of our ads lead to sign-ups. They set cookies to tell visits apart and to remember which ad you clicked. We don't use cookies to show you personalized or follow-up ads, and we don't sell this information.
If you're in the European Union, the European Economic Area, the United Kingdom or Switzerland, analytics and ad measurement run only if you choose Accept. Everywhere else they're on by default. Wherever you are, you can turn them on or off at any time with "Cookie settings" at the bottom of every page.
We honor Global Privacy Control: if your browser sends that signal, analytics and ad measurement stay off unless you turn them on yourself in Cookie settings. We treat the older Do Not Track signal the same way.
Your choice is stored in your browser, not on our servers, for 12 months. After that, or if you clear your browser's site data, we ask again (in the regions above) or go back to the default.
Outside the regions above, the site also sets a small cookie that's strictly necessary to apply the right cookie rules where you are. It records only that you're outside those regions, not your country or anything that identifies you, and it expires after 10 minutes. In those regions it isn't set.
The spam-protection check on the sign-up form may also set a cookie that's strictly necessary for it to work. You can block or delete cookies in your browser settings; the site still works without them.
If you're in the EU, EEA, UK or Switzerland
We are based in the United States and serve US carriers; your information is stored in the US. We process what you send us because you asked us to contact you and because we have a legitimate interest in running our business. You can ask for access, correction, erasure, restriction or a copy of your information, object to our use of it, or withdraw your consent, by emailing info@flex-lane.com. You can also complain to your local data-protection authority.
Changes
If we change this policy, we update the date at the top of this page. If a change affects you as a customer, we email you at least 14 days before it takes effect.
